2025 Annual Meeting RSVP

Dear Eagle Village Resort Owners,

We hope this letter finds you well and in good health. As Eagle Village Property Owners Association enters into its 41st year of making family memories at our beloved Eagle Village Resort, as an aging property it is in need of renovations and updates. Over the years many of the original owners have passed, opted to transfer their interest, or have had financial struggles causing them to fall behind on their fees. The decline in dues paying membership over the years and low annual fees has limited the budget ability to afford unit renovations, facility improvements, rising costs of maintenance and utilities.

POSITIVE CHANGE

You will be pleased to know that your Board of Directors officially engaged a new company to provide consulting and operational assistance officially starting in July of 2024. They have been hard and fast at work planning for transitioning Eagle Village into its next phase of new life and to help the association’s members in making new memories and vacationing experiences.

Here are some key points from the Eagle Village transition update:

● Unit Inspections and Renovations: Began inspecting the 68 units and the resort to assess renovation needs. Obtained bids for typical unit renovations or upgrades and necessary repairs addressing issues like leaks, water damage, infestations, and other hazards. Also researched preventative measures such as installing crawl space heaters in units to prevent pipe freezing.

● Road Maintenance and Safety Improvements: Cleared brush and dead trees on roads within and leading to Eagle Village. Negotiated with neighboring landowners for maintenance agreements and began planning outdoor amenities like hiking trails.

● Water and Sewer Company completed system upgrades and infrastructure improvements

● High-Speed Internet: Initiated negotiations with Verizon to bring fiber internet service to the resort. Planned upgrades will include Resort wide WiFi, smart TVs, WiFi thermostats, and Wifi door locks to improve service and reduce energy costs.

● CRM and Reservation Software: Selected a new CRM and payment system (DoorLoop) with pending future integration with OwnerRez for bookings, owner management, streamlined arrival instructions and access. Completed importing owner records and prepared for staff training.

● Accounting and Collections: Reviewed historical relationships with Concord and Blackwell and implemented changes to improve cost efficiency and communication. Updating owner records with contact information. Tracing and tracking delinquent and passed due owners for payment, pending turn over to collection agencies or preparing for foreclosure.

● Deed and Ownership Records Cleanup: Discovered significant errors in ownership records, including unrecorded deed transfers and weeks not properly deeded. Initiated a major project to correct these issues with the Pike County Recorder's Office.

● Safety Concerns: Addressed urgent safety issues by repairing some decks and steps.

● Ongoing Efforts: Continued focus on stabilizing business operations, improving communication and progressing with renovation plans and scheduling.

RENOVATIONS

As of October 10, 2024, we have received the contractor bids for all renovation plans. While we work on finalizing the full renovation timeline, budget and plan please know a dedicated detailed communication will be issued in the future. Please know the general plan for the resort is to stay open and maintain access to all owners while renovations take place over a 18 - 24 month period. These clustered and phased renovation efforts are part of our commitment to maintaining the resort’s functionality during this period of transition.

COMMUNICATIONS

We have launched the first phase of a new website at www.EagleVillageResort.com, over the next days, weeks, months and years a series of updates will be made to both the website and the NEW Owner Portal. Many owners have already received an invite or claimed their online access for their NEW Owner Portal. We ask everyone to please create your online account so that you will be able to more easily receive updates on the renovation process, book your reservations, create requests, receive notifications, view documents, and pay your dues online. Owners participating in this will save the Eagle Village Owners Association thousands of dollars a year and help us resolve the issues with communication by utilizing the NEW Owner Portal and/or our new CustomerSerivce@EagleVillageResort.com email address. Because we value each and every owner and their commitment to growing with the Eagle Village Resort through the renovation and transition it has been decided to not increase the 2025 Annual Maintenance Fee. Attached is the Proposed Operating Budget for 2025 to help you better understand where funds are deployed. The budget reflects an Annual Maintenance Fee of only $760.00. Your 2025 Annual Maintenance Fee payment is due before January 1, 2025.

The meeting of the Board of Directors to consider adoption of the Proposed Budget will be held on Saturday, November 23, 2024 at 11:00 a.m. at our Recreation Center.
